WilCodex™ ("WilCodex," "we," "us") provides an AI-powered property-operations platform. This policy explains what information we collect, how we use it, and the choices you have. By using WilCodex or submitting a form on this site, you agree to this policy.

1. Information we collect

• Information you provide — name, email, phone, company, and message when you request a demo, contact us, or are invited to the portal.
• Account & usage data — login credentials (stored securely), role, activity, and preferences when you use the portal.
• Property & operational data — for customers, data synced from your systems of record (e.g., AppFolio): properties, units, tenants, ledgers, work orders, and communications, used to operate the tools on your behalf.
• Technical data — IP address, browser type, and basic device information collected automatically to keep the service secure and reliable.

2. How we use information

• To provide, operate, and improve the WilCodex platform and its AI agents.
• To respond to demo requests and support inquiries.
• To send account, transactional, and (with consent) marketing communications.
• To generate reports, insights, and AI-assisted analysis for your portfolio.
• To protect the service, prevent fraud, and comply with legal obligations.

3. SMS & messaging consent

SMS/text messages to residents and applicants are sent by Classic Rent Solutions, the registered messaging operator, on behalf of the property-management brands it powers (including Premier Plus Solutions and Nexus Plus Management). If you opt in through one of those brands' forms, you may receive texts relating to your account, leasing, maintenance, collections, or promotions. Message frequency varies; message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent to receive texts is not a condition of renting or of any purchase. Opt-out requests are honored promptly and opt-out lists are maintained. WilCodex, the software platform, does not itself send marketing text messages; it may contact people who submit a form on this site about their inquiry by email or phone.

4. AI processing

WilCodex uses AI models (including large language models via trusted providers) to power features such as Martha and the AI agents. Data sent for AI processing is used to generate responses and is not used to train third-party public models. We limit what is shared to what is needed for the feature you use.

5. Service providers we share with

We share information only with vendors that help us run the service, under contract and confidentiality — for example: cloud database & hosting (Supabase, Hostinger), property data (AppFolio), telephony & SMS (Telnyx/Twilio), and AI providers (Anthropic). We do not sell your personal information.

6. Data security

We use role-based access control, encryption in transit, restricted credentials, and a single audited source of truth. No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard safeguards.

7. Data retention

We retain information for as long as needed to provide the service, meet legal and accounting requirements, and resolve disputes. Customers may request export or deletion of their data subject to legal retention rules.

8. Your choices & rights

• Access, correct, or delete your personal information.
• Opt out of marketing emails (unsubscribe) or texts (reply STOP).
• Request a copy of the data we hold about you.

9. Cookies

We use essential cookies and local storage to keep you signed in and remember preferences (such as day/night theme). We do not use advertising cookies.

10. Children

WilCodex is a business tool and is not directed to children under 16. We do not knowingly collect information from children.

We may update this policy from time to time. Material changes will be posted here with an updated date.
